OHFA UPDATE - PAGE 5 - 2021 FOURTH QUARTER OFFICE OF MULTIFAMILY HOUSING The Compliance division is excited to welcome in 2022! As always, we are looking forward to improving our processes and building our partner relationships in the New Year. In 2021, Compliance continued to conduct remote file audits of all audits that were due in 2021. Over 530 projects had a file audit, physical inspection or, if they were lucky enough, they received both from our team! Over 1,950 buildings were inspected. Over 4,420 files were audited remotely in 2021! In the future, we will continue to conduct file audits remotely unless there are mitigating circumstances to do otherwise. There will be some times when the physical inspection and the file audit will be conducted at the project, but this will occur infrequently. The requirement for us to conduct inspections on HOME projects had our auditors back out in the field beginning in August. We conducted over 1,090 unit inspections. We continue to make improvements to our inspection and OHFA’s IT team has taken over the maintenance of the software, which allows compliance to work closely with IT making upgrades to our systems to better serve the industry. We strongly suggest that our partners ensure that all applicable staff have access to Devco online and OHFA Inspection prior to an audit. For assistance with DevCo access, please visit our helpdesk . Improvement of the OHFA Helpdesk continues and now includes options for: Devco, Compliance and OHFA Inspection. Over half of all helpdesk support tickets submitted in 2021 were responded to and resolved within 24 hours, while the other half had an average turnaround time of 3 days or fewer. Compliance team members completed a massive project to become a “paperless” division over the course of the last year. Our team reviewed over 1,500 project folders and hundreds of other documents and transferred them to our electronic filing system. Those files were then shredded, which resulted in over 5,700 pounds of shredded paper in November alone! Compliance is also working on gathering the Rural Development (RD) inspections that have been completed on OHFA funded projects. If you have had an RD inspection on any of your projects within the last three years, please email those reports to Pam Zinn, the Compliance Review Coordinator at pzinn@ohiohome.org . Friendly reminder- Beginning January 1, 2022 you can start inputting all of your 2021 tenant events into Devco online so that you can submit your 2021 Annual Owner Certification (AOC). All 2021 AOC’s are due no later than March 1, 2022. OHFA’s Multifamily Compliance Training and Technical Assistance team will conduct two AOC webinars to explain the AOC process.
